Outlook Express Backup Guide

Many personal users and small companies don’t need to purchase expensive software for backing up data files.

To make backup, they can simply burn the data files to a CD or a DVD. Just in case if they loose information they can restore the files from the CD or DVD.
But, that is working only for the case of data files such as documents, photos, mp3 files and other files. That does not work for email client software such as Outlook Express.

This article will discuss how to do manual backup on email client such as Outlook Express. Outlook Express is usually installed together with Windows Operating System and this email client is probably the most common email client software being used by computer users.

1. Creating Backup for Email Messages
Outlook Express data formats is in DBX, every email messages are stored in DBX file extension.
If you want to find the path to the folder that contains your emails, you can open the Outlook Express ? Tools ? Options ? Maintenance and click on Store Folder button.
To make backup for your email messages, find the folder of your email messages and copy all the DBX files.

2. Account Setting
Your email client settings are stored in the windows registry.
You may find the details in the registry. To open the registry click on Start Menu ? Run ? type in Regedit.
After the registry editor window is open, look at the left panel and click the tree menu to find “HKEY_CURRENT_USER\Software\Microsoft\Internet Account Manager.”

3. Mailing Rules
Outlook Express mailing rules are kept in the registry. To open the registry editor refer to Point 2. After the registry editor is open look at the left panel and click the tree menu to find “HKEY_CURRENT_USER\Identities.”
To make backup for this key, select Registry ? Export Registry File ? Save the file and choose name that easy to remember.

4. Backup Address Book
Backing up address book is not that difficult. Outlook Express stored the files with WBA extension.
To find the files, open Outlook Express and select File ? Export ? Address Book ? choose comma separated text file as the output format ? click Export ? select the folder for the backup file to be save and enter your desired name for the file. ? click Next ? choose the field you want to include in your backup files ? click Finish.

5. Outlook Express Stationery
Stationery is stored in Windows Registry. How to find the registry key ?
Refer to Point 2 to open the registry editor. Once opened, find for “HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Shared Tools\Stationery” and look at value of the Stationery Folder, you can see a set of string. That is the location of the stationery files. To make backup for the stationery files, copy all the files in the folder.

Easy Steps to Reduce Your File Size for Email Attachment

This article will talk about something that corresponding to your business office daily work.
I want to send out an electronic mail with a Word Processor file as an attachment, but the e-mail fail to be transmitted because the Word file is too large. Did you come accross the following situation ?

3. Insert image wisely

“Insert picture” is one of the principal causes for the Word Processor file become over size.
Try on to enter a smaller size picture. You can use graphical editor program to reduce the size of the picture before inserting into the data file.
The data file format must use GIF or JPG and avoid utilize those high-resolution computer graphic, such as BMP.

4. Do not “Embed True Type Font”

“Embed True Type Font” will increase the size of Word data file.
In Menu, choose “Tools > Options”, switch over to “Save” tab page.
Confirm that your Word Processor file have no true type font, and cancel the “Embed True Type Font” option. If you embed true type font, then choose “Embed characters in use only”.

5. Compress your file with a File Compressor.

Use a file compressor to reduce the size of your attachment. For this point, i will describe the step by step guide in the next post.

Problems with Email and How to Solve

As we continue into our daily lives, e-mail have become part of our daily lives, and sometimes little problems disturb the user’s. There are several problems that may caused user disappoint using an e-mail service, and i will describe some of these here and how to solve this problems.

No. 1 – Unable to Send Message.

You try to send e-mail but it is still in your outbox, even when the connection is fine.

Solution :
Usually, this is a software failure or corruption to one or more e-mail. To solve this problem, first send a copy of any outstanding messages as text. Then keep the file into your hard drive or a backup storage medium. After saving all of the messages, mark all of the messages in your outbox and click on “delete” or “clear”. When your outbox is clear, start from the beginning. Copy the messages from a text file to the new e-mail message and send the message.

No. 2 – Attachment is Missing or Attachment can’t be Open.
One of the special email service is the ability for attachments transfers, whether sending of receiving.
Files transfer, photos transfer, or other kind of information may save time and money, unlike the postal mail or express transportation services which can take more time and money. On the other hand, attachments can cause a real headache. The most common problem that can cause frustration is when you receive an e-mail with an attachment, but you found nothing there.

Solution :
The best solution for this problem is to ask the sender to resend the message but avoid sending the attachment. Ask the sender to copy the attachment into the body of message and resend. This may damage the formatting, but it can be effective to handle the problem.
Sometimes, when you receive a message and you can open and see the message but you found your attachment missing, that’s because your anti-virus software detects virus, and automatically remove the attachment which you may probably won’t receive such kind of file that can harm your computer.
However, if you find all attachments in the messages are being indiscriminately deleted, you may check your e-mail settings. If you see the attachment blocking property is being checked, then remove the check mark so that you can accept attachments. If you receive a message from an unknown person or if the message or attachment seems suspicious, delete the message without even opening the attachment.

A related issue is to see the attachment is transmitted, but you can not open it. The causes and the problem solving is vary. Sometimes, the problem is that the sender is using software that does not match with the recipient.
And for the missing attachment problem, a simple way to fix it, is to ask the sender to copy and insert the contents into the e-mail messages. Even when it cause the damage of the formatting, you can still get the essence of the information. If that is very important, you can also use your own copy and paste process in order to reformatting the content.
Another way is to save the file to your storage device, and then open it with the software that being used to create the file. Once you use the program, you might be able to recognized the file and open it. If you don’t have the computer software loaded on your computer, you may download it from the Internet.

No. 3 – Having to many e-mail messages.
When you receive a lot of messages, then you may have several difficulties.

Solution :
Many of internet service providers set limit storage usage to each user (although some have recently increased storage limits). When you have reach the storage limit (maybe it’s because you’ve gone too long without downloading your e-mail or your storage filled with SPAM message), another message will be bounced back to the sender.
For sure, the only way to solve this is by downloading your e-mail directly to your storage and then clear it out, but a better way is to access your e-mail messages through the web mail. That way you can see all of your messages and simply remove the unnecessary messages. This way you could save a lot of download time, if you are using of dial-up connection. It is also an additional measure to increase virus protection, even if you have a broadband connection. Since you are removing messages from the mail server, then it would be cleaning up viruses before they have a chance to infect your computer.
If you do not have a Web mail account, it ‘easy to get one. Go to a web mail provider such as Yahoo Mail, Google Mail, Hotmail and register.
Go to the site and enter your preferred e-mail address and fill in the registration form.
